Top Notch Executive Assistant

We are looking for an energetic and intelligent right-hand to the CEO and founder. As an Executive Assistant you will be considered a partner to our CEO. You will hold a central leadership role within our company.  The ability to be flexible and the understanding that things change daily are the keys to your success here. To say things are fast paced is an understatement, so your fundamental admin skills should be top-notch.

Key Responsibilities:

  • Have the ability to see around corners, anticipate needs and solve problems effectively.

  • A creative and strategic thinker that can make the right business decisions that support our CEO’s priorities.

  • Have a deep understanding of the business and the technology.

  • Represent the CEO as main point of contact externally and internally.

  • Assist with travel arrangements.

  • Oversee calendar and assist with all meetings, including guest greeting, room set-up, agenda compilation, minute taking, technology for webinars, etc.

  • Assist on extremely confidential project work including performance reviews, bonus incentive payouts, incentive calculations and similar.

  • Assembly and review of materials.

  • Maintain all associate files in orderly way including paper files and electronic files.

  • Compose memos, agendas, and presentation materials.

  • Update CEO’s contact lists.

  • Maintain email distribution lists.

  • Order and mail any items on behalf of the CEO.

  • Plan for and execute meetings and social events.

  • Oversee all New Hire processes including onboarding paperwork, forms, I9 documentation, New Hire PIFs, etc.

  • Manage all changes in HRIS system such as but not limited to new hires data entry, new hire self-service access, tax coding, rate changes, resignation, termination, etc.

Qualifications:

  • BA degree preferred.

  • Possess extraordinary organizational, time management and administration skills.

  • An upbeat spirit of passion, energy, and enthusiasm; enjoys problem solving creatively in order to complete complex assignments.

  • Ability to contribute consistently and positively in a high-paced, fast-changing and sometimes unpredictable work environment.

  • Proven ability to take initiative and build strong, productive relationships.

  • Extraordinary attention to detail. Ability to take briefs ‘on the fly’ and complete tasks ahead of schedule.

  • Excellent verbal and written interpersonal skills; in person and ‘virtually’.

  • Ability to adhere to an expectation of complete confidentiality on all business matters.

  • Calm and confident during high stress situations.

  • Proficiency with MS Office products, mobile apps, digital environments and applications is a must – tech “savvy”!
